1. Foster Transparency Through Confluence Pages

Transparency builds trust. With Confluence, HR teams can create open spaces where company-wide information is shared and accessible to all. 

At Seibert, we have an employee handbook that contains all the relevant information our employees need to know created entirely in Confluence. 

The handbook is a living encyclopedia of the company, filled with information ranging from the company’s structure and links to essential Confluence pages (organization chart, privacy policies, and information security) and interesting topics (benefits, company values, and teams). The handbook is searchable and regularly updated.

Pro Tip: Create a “Employee Handbook” Confluence space that includes:

  • Glossary of company jargon (including relevant department or links)
  • Structure of the organization (especially if your company is a multinational corporation (MNC) or operates internationally).
  • List of important links, topics, or Loom videos (benefits, onboarding, etc.)
  • Anonymous feedback/compliance  (At Seibert, we have our own whistleblowing system for internal reporting)

2. Celebrate Culture and Connection through the Intranet

Remote and hybrid teams require innovative ways to stay connected. For us, our intranet plays a major role. In our intranet, employees from every department can share and stay connected. Employees can write blog posts, create posts (work or personal related), subscribe to news feeds, stay up-to-date with company-specific social media, and celebrate birthdays and work anniversaries! Not only this, the intranet serves as a central hub that branches out to other company-related apps, spaces, and tools.

The intranet is truly a place where employee engagement thrives! For example, we just hosted our annual virtual company run! This event was organized entirely through Confluence. 

Employees joined from various locations, shared photos and stats, and celebrated their participation with a shared recap blog post on the intranet.  This simple event boosted morale, encouraged healthy habits, and fostered camaraderie—all without the need for a physical office.

How to do it:

  • Create a Confluence event page with sign-up instructions
  • Use Jira to track tasks (organizing, reminders, logistics)
  • Encourage participants to post photos and updates
  • Share highlights in a company-wide video

4. Track and Celebrate Milestones Using Confluence & Jira

Jira isn’t just for software teams. HR can use it too! For example, in combination with Confluence, teams can create open spaces for company-wide goals or OKRs (Objectives and Key Results). This visibility not only aligns individual efforts with broader objectives, but also strengthens a shared sense of purpose.

On a Confluence page, we include a progress bar, KPIs, relevant links to reach our goal, and the status progression of related Jira tickets related to each goal.

Example 2: (Keeping Track of Kudos, Onboarding, and Retirement using Jira): 

Use Jira to keep track of employee shout-outs (kudos), who is on track for onboarding, and individuals who are in the process of retiring from the company.

Example 3 (Onboarding tasks in Confluence for new hires): At Seibert, each new hire is given a Confluence page aka “flightplan,” which is a checklist to be completed as part of the onboarding process!  This ensures that new hires can keep track of their onboarding and are well acquainted with the company, and relevant information and people associated with their role.
